How it works

Keep the customer experience simple and the team workflow accountable.

  1. 01

    Create the customer room

Start from the customer relationship, choose the owner and access team, and add the fields that matter for the service journey.

  2. 02

    Give the customer secure access

Send a one-time access link. The customer opens a branded installable web app and sees only their own room and customer-visible information.

  3. 03

    Keep messages and work together

Customer messages, files, status, next action, cases, and public updates stay in one room while private notes and staff tasks remain internal.

  4. 04

    Escalate unread updates

Use push first when enabled, then approved email or another configured route, and finally create a staff follow-up when a critical update remains unread.

  5. 05

Close the case, keep the relationship

A service visit, order, delivery, renewal, or support case can close without losing the long-lived customer room and its history.

Product scope

Customer-visible clarity, with internal work kept private.

Secure customer entry

Short-lived access links and scoped customer sessions keep the entry path simple without exposing another customer's room.

Installable customer app

Customers can install the branded room on supported phones or desktops without an app-store download.

Two-way communication

Messages, photos, and documents stay attached to the durable customer relationship.

Status and next action

Show the customer the approved stage, next step, and expected update while keeping internal workflow private.

One accountable owner

Several people can collaborate, but one owner remains responsible for the next customer action.

Cases and issues

Track routine journeys inside the room and link formal support issues to their own SLA and resolution workflow.

Organised documents

Keep estimates, approvals, invoices, job cards, delivery evidence, or service files usable beyond a chat timeline.

Notification recovery

Use consented push, approved fallback channels, and staff follow-up with stop rules when the customer reads or replies.

Where it fits

Useful wherever a customer relationship lasts longer than one conversation.

Vehicle sales and service

Keep a customer, vehicle, estimate, approval, job, delivery, service, warranty, and renewal history together.

Property handover

Coordinate documents, inspections, defects, approvals, possession milestones, and post-handover issues.

Implementation and agencies

Give each client a durable room for deliverables, requests, files, decisions, and the next accountable action.

Appliance and field service

Track installations, service visits, parts, photos, estimates, approvals, and completion evidence.

Distributors and account service

Give important buyers or channel partners one service room while orders and trade state remain in the right operating system.

Compliance and professional services

Exchange controlled documents, requests, evidence, review state, and due actions without losing context across email threads.

Questions

Common questions

Is a Customer Room a WhatsApp group?

No. It is a business-owned customer workspace. WhatsApp, email, SMS, or voice can notify the customer or link back to the room, but no external channel owns the room's history or workflow.

Does the customer need to download an app?

No. The customer opens a secure web link. On supported devices they can install the room as a web app for easier return access.

Can several staff members work in one room?

Yes. The room separates the access team, active room members, notification preferences, and one accountable owner so collaboration does not turn into an all-staff notification stream.

What can the customer see?

Only messages, files, status, profile fields, cases, next actions, and other information explicitly marked for the customer. Private notes, internal tasks, assignments, and hidden fields stay internal.

Is Customer Rooms generally self-serve?

Not yet. It is available through a controlled rollout with tenant branding, room fields, roles, stages, notification policy, access rules, and the first operating workflow agreed in advance.
