This is a service-workflow change, not a channel switch. The goal is to make the customer's service journey easier to follow while preserving the authority of the systems the workshop already runs.

    Choose one high-context service journey

    Start where ordinary chat creates real rework: estimate review, delayed work, additional repair approval, delivery or handover, warranty follow-up, or a customer asking repeatedly for the same service status.

    Map each system to one job

    Write down what remains in WhatsApp, what belongs in the Customer Room, and which dealer or job-card system remains authoritative for vehicle, job, financial, parts, and warranty facts.

    Design the customer-safe room

    Agree the customer-visible fields, status language, documents, question path, invitation wording, access recovery, notification stop rules, and everything that must remain internal to the team.

    Pilot with named staff and a small cohort

    Use a defined advisor or workshop group. Train staff on ownership, customer invitation, handoff, recovery, exception escalation, and what they must verify before they update a customer.

    Review outcomes and decide deliberately

    Look at completed service journeys, unanswered or repeated customer questions, access problems, exception resolution, staff effort, and any boundary failure. Keep, revise, or stop the workflow before expanding it.

Customer-visible service status, approved documents, questions, review requests, next action, and a durable relationship view.

Do not use it for

Do not expose internal notes, staff tasks, private assignment, or unreviewed operating data.

Dealer operating systems

Use it for

Vehicle, job card, billing, inventory, parts, warranty, and other operating records according to the dealership's established system of record.

Do not use it for

Do not treat the room as a silent replacement or update this state without the approved integration or staff verification path.

Pilot readiness

The minimum review before you invite a customer.

A controlled room must give the customer more clarity, not a new way to get stuck. Resolve ownership, data, access, and exception decisions while the pilot is small.

  • One operational owner and one technical or data owner are named for the pilot.
  • The pilot cohort, journey start, journey end, staff roles, working hours, and escalation route are documented.
  • Customer-visible fields, approved documents, status language, and private fields are reviewed before the first invitation.
  • The source of truth and staff verification path are known for vehicle, job, estimate, approval, billing, parts, and warranty facts that appear in the journey.
  • Customer access, recovery, channel permissions, consent where applicable, provider rules, and retention are checked for the configured deployment.
  • The team agrees on stop conditions and a short review cadence; no bulk migration or unreviewed broadcast is treated as the pilot.

Should a dealership abandon WhatsApp when it launches Customer Rooms?

No. WhatsApp can remain a useful entry, alert, invitation, and escalation channel. The change is to stop treating a scrolling chat as the only place for service context that needs a document, a review decision, a visible status, or an accountable next action.

Can we move every existing WhatsApp conversation into a room?

Do not begin with a bulk migration. Start new or selected active service journeys in a small cohort, using a reviewed customer-entry and recovery path. Historical migration, if ever required, needs its own data, privacy, customer-notice, and operational decision.

What should remain the system of record?

The dealership's chosen vehicle, job-card, billing, inventory, parts, and warranty systems remain authoritative for those operational facts. The room makes the customer experience and accountable follow-through clearer; it does not silently replace the source system.

How do we send customers to a room?

Use an approved invitation or configured notification route appropriate to the relationship and channel rules. Before launch, decide the entry wording, customer verification, expiry or recovery behaviour, who handles a failed entry, and when a staff member follows up instead.

Will moving an update into a Customer Room reduce WhatsApp costs?

Do not make that claim without the applicable official rate card, message mix, market, provider setup, and a measured baseline. Customer Rooms should first be evaluated for service clarity, controlled context, accountable work, and customer experience. Any future calculator should show its assumptions and use current official rates.
